A test-drive enquiry can sound like a booking even when the dealer still needs to check the vehicle, location and time. Automotive operations teams can prevent that confusion by keeping the caller’s request, the dealer’s availability check and the final confirmation as separate steps.
This guide is an intake and handoff design, not a claim that HeyRik books vehicles or checks dealer calendars. Maruti Suzuki’s public test-drive flow asks the customer to select a vehicle, dealership and date, then share personal details; its booking terms say the appointment remains subject to dealer availability and final confirmation.
Capture a request the dealer can act on
- 1Confirm the model and variant the caller wants to try. Record “not sure” as an answer; do not infer a trim from a price or feature question.
- 2Ask which dealership or area is convenient. If the caller cannot choose, capture a preferred locality and route the choice to a human.
- 3Record a preferred date and time window with the caller’s timezone or local context. Mark it as a preference until the dealer confirms an available slot.
- 4Confirm the callback number and the caller’s permission for the dealer to contact them about this request. Store the consent wording and time according to the organization’s approved process.
- 5Read back the vehicle, location, preferred time and next step. Say who will confirm the appointment and by when only if the dealer has set that expectation.
Use explicit request and booking states
- Request captured: required details were collected and read back.
- Awaiting dealer review: the destination team has not yet accepted or checked the request.
- Slot proposed: a specific time is being offered, but the caller has not accepted it.
- Confirmed: the dealer system or responsible person has confirmed the vehicle, location and time, and the caller has been told.
- Unable to confirm: preserve the reason and assign a named follow-up owner.
Worked example: a date is not a reservation
Illustrative case: a caller asks to drive a particular model at a nearby dealership on Saturday afternoon. The intake record should keep the model, preferred outlet, requested window, confirmed callback number and contact permission. Until the dealership checks the vehicle and confirms a time, the caller-facing status is “request received; dealer confirmation pending.”
If the preferred vehicle is unavailable, ask whether the caller wants another model or a different date. Do not silently substitute a vehicle or promise a slot because the lead form accepted the request.
Review performance at the handoff boundary
Track request completeness, dealer acceptance, time to first human response, confirmed appointments and completed test drives as separate events. Use the dealer’s appointment record to verify confirmation and attendance; a captured call or lead is not evidence that a test drive happened.
A useful weekly exception review samples requests with missing models, ambiguous outlets, no callback owner, unconfirmed slots and contact-permission uncertainty. Fix the form or script at the stage where the failure occurred.
Scope and source limits
Public manufacturer forms illustrate common intake fields, but each dealer’s availability and consent process can differ. Have the dealer operations and privacy owners approve the actual fields and caller wording. This article describes an operational pattern and does not provide legal advice or state that HeyRik integrates with a manufacturer or dealer system.
A little more before you begin.
When should the caller be told the test drive is booked?
Only after the dealer confirms an available vehicle and a specific appointment under its own process.
Does a submitted test-drive form prove consent for every later campaign?
No. Preserve the permission and purpose actually presented to the caller, and follow the organization’s approved contact rules.
