Automotive service appointment requests and workshop confirmation

Collect a vehicle service request and preferred slot while leaving diagnosis, bay capacity and appointment confirmation to the workshop.

A driver may call to describe a warning light, request routine service or ask for a preferred workshop slot. Intake should capture the request and route it for confirmation without diagnosing the vehicle or promising capacity the workshop has not checked.

For safety-critical symptoms, follow the workshop’s approved emergency guidance and connect the caller with a qualified person.

01

Collect the minimum useful context

  • Vehicle make/model only if needed for the requested service.
  • Caller’s description of the issue, preserving their wording.
  • Whether the request is routine maintenance, a warning or a breakdown.
  • Preferred workshop location and time window.
  • Callback number confirmed by the caller.
  • Any question that a service advisor must verify before confirming.
02

Confirm through the workshop system

A preferred day is not a booked bay. A service advisor should verify operating hours, location, work type and actual appointment capacity. Do not quote repair cost, diagnose a warning or promise a completion time from an intake script. If the workshop has no confirmed slot, explain that a human will follow up.

Illustrative case: the caller asks for a Saturday brake inspection but the calendar has not been checked. The record says appointment requested, pending workshop confirmation—not booked.

03

Keep request and service outcomes separate

Measure request captured, advisor response, appointment confirmed, vehicle received and work completed as distinct milestones. Tie each to evidence from the system that owns it. This makes service demand visible without claiming that calls alone produced completed repair work.

FAQ

A little more before you begin.

Can an intake agent diagnose a dashboard warning?

No diagnosis should be represented unless a qualified technician has assessed it under the shop’s process. Escalate safety concerns using approved instructions.
