A service enquiry should tell the receiving team what the caller needs and where the work may be needed. Capturing those details does not establish service availability, a confirmed price or a booked appointment. This guide is for service operations and BPO intake teams.
This is a proposed intake and review method. Verify any product action and the owner-approved business rule before making a caller promise.
Define what “qualified” means for intake
For an administrative intake workflow, the business owner can define required fields such as task category and service area. Keep the definition tied to a supported next step; avoid broad “good lead” labels that mix eligibility, price, availability and interest.
Worked case: area not served yet
Illustrative case: the caller requests appliance repair in a district not present in the approved service-area reference. Record the requested district and mark coverage for human confirmation. Do not promise a visit or discard the enquiry solely because the lookup is unavailable.
Check the handoff
Compare the caller’s corrected address area with the destination record, then verify that a named team accepts the request. Test out-of-area, unclear-location and missing-reference cases. A submitted form or webhook response does not establish that the work is complete.
A little more before you begin.
Can the intake call confirm a technician or appointment?
Only when an authorised, current scheduling process verifies that result. Otherwise record the request for a human to confirm.
