Rental enquiry collection for property managers

Create a rental enquiry handoff that captures a caller’s stated needs while leaving screening, eligibility and availability decisions to people.

Property managers field questions about a listing, a viewing and application steps. A structured intake helps the leasing team respond without turning a preliminary call into a tenant screening or eligibility decision.

Do not use an automated intake to rank applicants or infer protected characteristics. Apply the property owner’s approved, lawful process with human oversight.

01

Ask only what helps answer the request

  • Which listing or location the caller means.
  • The question they want answered or the viewing window they prefer.
  • Whether they want application instructions or a human callback.
  • Contact detail confirmed for the requested reply.
  • Questions the property team must verify, such as current availability or terms.
02

Keep screening out of intake

Do not ask for sensitive or unnecessary information during a general enquiry. Do not infer suitability from accent, name, family status or conversational style. If a caller volunteers information, follow the organization’s data handling policy and avoid turning it into a decision field.

Illustrative case: a caller asks whether a unit allows pets and requests an evening viewing. Record the question and preferred window. A property manager checks the current policy and calendar, then confirms or offers an alternative.

03

Keep local housing rules with the responsible reviewer

For U.S. operations, HUD’s fair housing overview explains that housing decisions are subject to legal obligations. The applicable rules depend on location and current policy; this intake guide is not legal advice or an applicant-screening workflow.

04

Track the handoff, not an assumed outcome

Use states such as enquiry received, owner assigned, answer verified, reply sent and viewing confirmed. A captured phone number does not prove permission for future marketing; follow the applicable contact rules and the caller’s expressed preference. Keep a source reference for any correction.

FAQ

A little more before you begin.

Should the intake decide whether an applicant qualifies?
