Recognize existing Zendesk contacts while the caller is on the line

Find existing Zendesk end-users during HeyRik calls with exact email matching, encrypted OAuth credentials and separate controls for each assistant.

Zendesk joins HubSpot, Airtable and the other tools in HeyRik's integration catalog. Your assistant can ask a caller to confirm their email and check for an existing Zendesk end-user during the conversation, without exporting your customer list or waiting for a call-end webhook.

For an Indian support team already using Zendesk, this can help distinguish an existing contact from a new enquiry and collect the right follow-up details. It is a workflow you configure, not identity verification or a guarantee of India data residency.

A direct lookup with a small result

The zendesk_find_contact tool returns only a matching contact ID, name and the confirmed email. It does not return tickets, private notes, phone numbers or staff profiles. The connector verifies an exact email match even when Zendesk search returns partial results. Duplicates, suspended contacts and incomplete paginated results are not treated as confirmed matches.

Connect a test assistant first

  1. 1Open Connected apps, choose your assistant and select Zendesk.
  2. 2Create a Zendesk OAuth access token with read scope for an agent whose visibility is limited to what you need. This release accepts a token you create in Zendesk; it does not offer a one-click OAuth sign-in.
  3. 3Enter only your Zendesk subdomain and the token. Saving checks user-search access and encrypts the credentials. Changing the subdomain requires a new token.
  4. 4Enable lookup and instruct your assistant to request zendesk_find_contact only after the caller confirms their exact email. New tools apply to new calls.
  5. 5Test known and unknown emails, duplicate matches and unavailable results before using the connection for real callers.

Keep verification separate

An email match does not prove who is calling. Keep your normal identity checks before disclosing stored information or taking account actions. The minimal contact result reaches your AI provider and may appear in tool logs; review your privacy notices and staff access controls.

The connector uses bounded requests without automatic retries. Permission errors, rate limits and provider outages mean the lookup could not be confirmed, not that the contact does not exist. Configure a fallback such as collecting a callback request.

What this release does not do

This release is read-only. It does not create tickets, update contacts, fetch ticket contents, bulk-import users or sync call summaries after calls. Disabling or disconnecting blocks subsequent lookups; an already-running request may finish. An expired or revoked OAuth token requires reconnecting with a new token.

No. This first release only looks up an existing end-user by exact confirmed email.

Does finding a contact verify the caller?

No. Use your normal verification process before disclosing stored information.

Can I use an API token instead of an OAuth access token?

This connector uses a Zendesk OAuth bearer access token. API-token basic authentication is not supported.
