BPO operations

Transfer a calling workflow cleanly between BPO shifts

Build a shift handoff that preserves open requests, work owners, exceptions and the exact campaign state at changeover.

A new shift needs to know which caller requests remain unresolved and what the next approved action is. A campaign status such as running or finished does not itself explain the human workload. This guide is for shift leads and client operations owners.

This is a proposed intake and review method. Verify any product action and the owner-approved business rule before making a caller promise.

01

Prepare the handoff before the shift ends

The outgoing lead reconciles the work list with the source records and marks unknowns. The incoming lead checks the highest-risk pending items and confirms which requests they accept. If the list cannot be reconciled, name a temporary owner rather than implying that the whole queue transferred.

02

Worked boundary: an accepted summary but missing record

Illustrative case: a handoff note reports a promised callback, but the receiving record cannot be found. Keep that item in an exception state and have the outgoing lead or supervisor trace its reference. Do not close it because the shift summary says it was handed over.

03

Test interruptions at shift change

Run a case where a callback becomes overdue during handoff, one where an event arrives late and one where the next shift cannot access the source system. Confirm there is a clear recovery owner and that the same request is not added twice.

FAQ

A little more before you begin.

When is shift work considered transferred?

When the receiving owner accepts the referenced open items and can access the evidence needed to act. A summary alone does not prove acceptance.
