Route enquiries when several teams own an account

Create a reviewable routing rule for shared accounts, unclear ownership and handoffs between sales teams.

A company may have separate regional, product and existing-customer teams. A caller should not have to decide which internal group owns their account. Sales operations can define a small routing record that preserves the caller’s request and makes ambiguity visible.

Treat the workflow below as a design pattern. It does not mean HeyRik automatically resolves CRM ownership or routes tasks to those teams.

01

Define the routing inputs

  • Account identifier and the source used to match it.
  • Caller’s stated need in their own words.
  • Region, product or service only when relevant and confirmed.
  • Existing owner or team returned by the approved source, including when that value is missing.
  • Rule version, timestamp and person responsible for exceptions.
02

Use explicit precedence and a safe exception

Write rules in order: for example, an existing verified account owner may take precedence over a general regional queue; a product specialist may receive a copy only if policy permits. Document what happens when two rules match or no trusted account match exists. Do not let an uncertain name or inferred intent silently select a team.

Amazon Connect documents routing based on routing profiles, hours and configured flow logic. That is a platform-specific example of explicit routing inputs, not evidence that HeyRik includes the same queue engine.

03

Worked conflict

Illustrative case: the CRM returns a West-region account owner, while the caller asks about a product handled by a national team. Preserve both signals, apply the organization’s written precedence, and send unresolved conflicts to a staffed review queue. Keep the original request attached so the customer does not need to repeat it.

Record route proposed, route accepted, accepting owner and resolution. A successful handoff is not proven by the destination merely receiving an event.

04

Test before rollout

  1. 1Existing account with one owner.
  2. 2Account with multiple valid owners.
  3. 3Unknown account or stale ownership.
  4. 4After-hours request and unavailable recipient.
  5. 5Caller corrects the region or product during readback.
FAQ

A little more before you begin.

Should the agent guess the team from the caller’s company name?

No. Use a verified source and approved rule; send ambiguity for human review.
