Choose the first BPO queue for an AI calling pilot

Compare queues using task clarity, evidence availability and recovery effort before selecting the first calling workflow.

A BPO operations buyer should choose a queue where a useful result can be defined and checked. Call volume alone is a poor starting criterion: a high-volume queue with ambiguous promises may create more correction work than it removes.

The steps below are a proposed operating method. Confirm supported actions in your configured HeyRik account before using them in a client commitment.

Compare jobs, not department names

List the actual jobs performed in each queue. A service desk may contain status enquiries, new bookings and complaints with different knowledge and escalation requirements. Evaluate one job at a time before grouping it into a pilot.

Give the client owner responsibility for approved answers, the implementer responsibility for the configured path and the receiving team responsibility for completion. The QA reviewer needs enough evidence to check all three.

Use a queue selection sheet

  • Task: one sentence naming the customer request and verified end state.
  • Approved inputs: current facts, required fields and an owner for changes.
  • Evidence: the record that proves the requested next action occurred.
  • Fallback: a staffed destination or an explicit request for later human handling.
  • Recovery effort: who corrects a bad record and how long that correction takes.
  • Scope changes: language, client, phone route and integration differences that require another test.

Worked choice: two enquiry queues

Illustrative comparison: queue A collects a request for a sales callback with three required fields. Queue B answers account-specific refund disputes using information unavailable to the agent. Choose A only if the receiving team can verify callback requests and reviewers can inspect the records. Its simpler scope supports a useful test; it does not establish that AI will outperform staff.

If both queues lack destination evidence, the next action is to repair reporting before choosing either. A spreadsheet score cannot make an unsupported task ready.

Validate the route before expanding

Amazon Connect documents routing decisions based on queue staffing and metrics. Those are examples of a platform-specific implementation, not evidence of the same controls in HeyRik. Confirm the available phone path and fallback in the configured account.

Write the selection reason, unresolved dependency and proposed test cases in the pilot brief. Reconsider the choice if the dependencies change. The useful output is an auditable decision, not a universal ranking of BPO queues.
