A pilot cohort should help reveal where the workflow fails. Selecting only cooperative callers or complete records can conceal the cases that matter in operation. This guide helps client reviewers and QA managers plan coverage before examining outcomes.
The steps below are a proposed operating method. Confirm supported actions in your configured HeyRik account before using them in a client commitment.
List variations that can change the result
Start with the task, then identify relevant variation: normal and corrected details, known and unknown questions, answered and unanswered attempts, supported languages and receiving-system failures. Do not collect irrelevant personal characteristics just to make a test sheet appear comprehensive.
The client defines business scope, the implementer supplies known configuration boundaries and QA prepares the case set. A fluent reviewer is needed when language understanding is part of the acceptance decision.
Use a coverage matrix
- Task condition and why it matters.
- Controlled case or authorised operational sample.
- Required evidence and expected behavior.
- Configuration and language included.
- Reviewer responsible for the decision.
- Uncovered condition and the reason it remains outside scope.
Worked coverage gap: missing destination failures
Illustrative cohort: ten normal enquiries and five correction cases all use an available receiving destination. The test may reveal field-capture problems, but it tells little about a failed handoff. Add a controlled destination-failure case and verify the fallback rather than describing the existing cohort as complete.
Keep deliberately challenging controlled tests separate from a representative operational sample. Combining them into one success percentage obscures how the cases were selected.
Preserve the selection method
- 1Write the scope and case selection before inspecting outcomes.
- 2Record any exclusions and their reason.
- 3Include the foreseeable failure paths using authorised controlled cases.
- 4Review all cases in a small cohort rather than choosing the best recordings.
- 5Use new cases after repairs to check behavior beyond the original examples.
Interpret the result carefully
A small pilot can find defects and compare evidence against agreed rules. It does not establish a precise production success rate. Publish the case mix and unknowns alongside any counts. Provider call-state documentation, such as Twilio’s, helps define phone conditions; the operational coverage matrix is your proposed evaluation method.
A little more before you begin.
Does covering each failure case make the pilot statistically representative?
No. Coverage testing and representative sampling have different purposes. State the selection method and limits of each result.
