A caller asking about an existing appointment should not have to wait while your team searches another tab. HeyRik can now look up upcoming active Calendly bookings during a call, using the caller-confirmed email.
This focused, read-only integration is useful for Indian sales, consulting and service teams already using Calendly. It does not guarantee India data residency or replace identity verification.
Live booking context, not another end-of-call webhook
Enable calendly_find_bookings on an assistant. It searches the connected host’s active appointments in the next ninety days and returns up to two matching bookings. More results are explicitly marked as partial. A second exact-email check confirms each invitee before returning a booking.
Results contain only a booking ID, UTC start and end times, and the invitee timezone. Meeting URLs, invitee answers, participant lists, phone numbers and event descriptions are not returned. Ask the caller to confirm their timezone before discussing the time.
Connect one host securely
- 1Open Connected apps, choose an assistant and attach Calendly.
- 2Create a Calendly personal access token with users:read and scheduled_events:read permissions. Use the account whose appointments this assistant should search.
- 3Save the token. HeyRik checks the token owner and event-read permission before encrypting it. The token is never sent back to the dashboard.
- 4Enable booking lookup and define your identity-verification process in the assistant instructions. Start a new test call and check a known email, an unknown email and an unavailable-provider result.
Clear limits
This release cannot create, cancel or reschedule appointments, check availability, search other hosts or perform post-call sync. No match means no active booking in the connected host’s next ninety days, not that the person has no booking anywhere.
A matching email does not prove the caller owns that email. Follow your business verification process before disclosing appointment times. Lookup results reach your configured AI provider. Disabling or disconnecting blocks subsequent requests; a request already running may finish.

Does this book or change appointments?
No. This release only looks up existing upcoming active bookings.
Are times in IST?
The tool returns UTC times and the invitee’s timezone. Confirm the timezone with the caller; do not assume every caller is in India.
